Mandatory On-Site Attendance
All guests are required to stay at the Vinoy Resort and Golf Club in order to attend the event. This ensures full participation, alignment with the event schedule, and a consistent experience for all attendees.
Arrival by Thursday afternoon is strongly recommended, as the event begins with a welcome reception on Thursday evening.
Welcome Reception
A welcome reception will be held on Thursday night at 6:30 p.m. at the resort. This gathering sets the tone for the event and provides an opportunity for early networking in a relaxed environment. The reception is scheduled outdoors, weather permitting.
Resort Stay, Fees, and Policies
Hotel Reservations and Deadlines
Attendees will receive a private group booking link after completing event registration. Discounted room rates are available until May 16, 2025, or until the room block is fully booked, whichever occurs first.
Rooms are limited and assigned on a first-come, first-served basis. Once the group rate is no longer available, reservations may still be accepted at the hotel’s standard rates, subject to availability.
Resort Fees and Amenities
Each room is subject to a daily resort fee of $24 plus tax. This fee includes enhanced in-room internet access, wellness class access, tennis court use, e-bike rentals, specialty cocktails, and museum tickets during the stay.
Check-In, Incidentals, and Parking
Check-in begins at 4:00 p.m., with check-out at 11:00 a.m. A valid credit card and passport are required at check-in. Guests are responsible for all incidentals incurred during their stay.
Valet parking is available with unlimited in-and-out access at the prevailing daily rate. Parking fees are subject to change and are the responsibility of each guest.
Cancellation Policy
Due to contractual obligations with the resort, cancellations made after May 16, 2025, may be charged for up to three nights of accommodation and may include additional hotel cancellation fees.
